$20 - $28/Hr.

Holidays - Employees will receive 8 regular hours compensation on the following National Holiday’s when those days fall on a workday if the employee would normally by scheduled to work:

·      New Year’s Day

·      President’s Day

·      Memorial Day

·      Independence Day (2)

·      Labor Day

·      Thanksgiving (2)

·      Christmas Eve

·      Christmas

In addition, the Foundation will be closed between Christmas Day and New Year’s Day.

Personal Days (Floating Holidays) - Fulltime employees will receive two personal days per year.  Personal days must be scheduled and approved by your direct supervisor.

Position Overview:
The Education Coordinator at the Seattle Science Foundation (SSF) plays a crucial role in ensuring the smooth and efficient operation of our office. This position is responsible for managing daily administrative tasks, providing exceptional customer service, and supporting the planning and execution of SSF medical education activities. The ideal candidate is organized, detail-oriented, and capable of handling multiple tasks with a high level of professionalism. 

Key Responsibilities:

·       Guest Services:

    • Greet all incoming guests with a warm and professional demeanor, ensuring a positive experience for visitors and clients.

    • Provide excellent customer service in person, over the phone, and through electronic communications.

·       Communication Management:

    • Answer and direct incoming phone calls, emails, and faxes, responding to inquiries or directing them to the appropriate staff member.

    • Regularly update and maintain SSF’s email and contact lists, ensuring accuracy and timeliness.

·       Office Management:

    • Order and manage office supplies, ensuring that necessary items are always in stock.

    • Maintain the appearance and organization of the SSF conference space, ensuring it is always presentable for guests and events.

·       Logistics and Meeting Support:

    • Coordinate shipping and receiving of packages, and track inventory of supplies.

    • Provide comprehensive meeting support, including setting up and breaking down meeting spaces, arranging food and beverage services, and coordinating hotel reservations, faculty airline travel, and transportation.

    • Assist with other logistical tasks to ensure the success of each SSF activity.

Qualifications:

  • Undergraduate degree preferred.

  • Proven experience as an administrative assistant or in a similar role.

  • Excellent verbal and written communication skills.

  • Strong organizational skills with the ability to manage multiple priorities.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Ability to work independently and as part of a team.

Work Environment:
This position operates in a professional office environment and routinely uses standard office equipment. Occasional evening or weekend work may be required to support events.
